HR assistants keep the records that payroll, benefits and hiring all depend on, from new-hire paperwork to address changes and personnel files. A missed pay change or a late I-9 lands on the HR manager's desk, so they hire for accuracy, discretion and time in an HR system like theirs. Accuracy shows in figures your HR office already tracks, such as personnel changes entered, I-9s completed on time and onboarding files closed before day 1.
How to Write an HR Assistant Resume - Key Takeaways
- Use the reverse-chronological format on 1 page; most HR assistants need 2 pages only after 10+ years in HR support.
- Open with a 2- to 3-line summary that names your years, the size of the workforce you support, your HR system and 1 result.
- Count records entered, onboarding packets completed, interviews scheduled and questions answered, each against a time frame.
- Write HR forms and systems by their real names, such as Form I-9, ADP Workforce Now or Oracle Taleo, in your skills and your bullets.
- List the aPHR, SHRM-CP or PHR under Certificates with the issuer and the month earned, and add a scheduled exam with its month.
- Show a second language in a bullet as well as under Languages, then test the file with an ATS resume checker.
What HR managers look for in an HR assistant resume
The BLS describes HR assistants as the people who provide administrative support to HR managers: they maintain personnel records, post job openings and compile candidates' resumes for review. O*NET's core tasks for the role add processing and verifying personnel documentation, explaining policies and benefits to employees and applicants, and setting up new-employee orientations. A manager reads your resume for proof that you did those tasks at volume and without errors.
The BLS also notes that HR assistants, more than most office staff, have access to confidential information. So your bullets count files and cases, and never name an employee, a medical condition or a pay figure. Lay the page out with these sections:
- Name, a headline such as HR Assistant, aPHR, and your contact details
- A short summary of 2 to 3 lines directly under your name, printed without a heading
- Work Experience, with the headcount you support in the first bullet of your current job
- Skills, with your HR software and Microsoft Office tools listed by name
- Certificates, for an HRCI or SHRM credential
- Education
- Languages and Interests if they help, plus Volunteer Experience or Key Achievements, not both
Best format for an HR assistant resume
Go with the reverse-chronological resume format: your current job first, then each earlier one with its title, employer and city, dated by month and year in MM/YYYY form. HR support roles often follow office, reception or payroll jobs, and this order lets a manager see when your HR work started and how it grew. Keep that order even when you move in from another field, and let your summary and first bullets carry the HR tasks.
- Best for most HR assistantsReverse-chronologicalYour jobs, newest first, with your results under each one.Best for: A steady work history in your field
- FunctionalSkills grouped up top, with a short work history below.Best for: Gaps or very little experience
- CombinationA skills section first, then your full work history.Best for: A career change with strong skills
A 1-page layout fits nearly every HR assistant resume. Move to 2 pages only with 10+ years in HR support or a step into generalist work, and keep your current role, your headline credential and your HR systems on page 1. If you are moving up, the HR resume page shows how generalist roles are laid out.
| Setting | What to use |
|---|---|
| Length | 1 page; 2 only after 10+ years in HR support |
| Headline | HR Assistant, plus aPHR or SHRM-CP once you hold it |
| First bullet | The headcount and number of sites you support |
| Dates | MM/YYYY for each role, with Present marking your current one |
| Font and layout | A single readable font at 10 to 12 pt, with plain section headings |
| Photo and private data | In the US and Canada, most resumes go without a photo; never add a birth date, marital status or Social Security number |
Most US and Canadian resumes carry no photo. You process I-9s and screen applications yourself, so an HR manager will notice a resume that shows details a hiring decision should never rest on, such as age or family status.
HR assistant resume summary vs. objective
Ask 1 question: have you been paid to do HR support, with HR in your title or as most of your duties? If you have, write a resume summary that names your years, the employer type, the workforce size, your HR system and 1 result. If you have not, write a resume objective instead: the HR role you want, plus the closest HR work you have done and any credential. Write it after your bullets so its number matches one of them.
HR assistant resume summary formula
Title with X years at type of employer, keeping records for headcount employees in HR system. One onboarding, records or scheduling win, counted. Credential, or the one you are studying for.
Example
HR assistant with 3 years at a 2-plant food processor, keeping records for 420 employees in ADP Workforce Now. Prepared onboarding files for 214 hires in 2025, each with Section 1 of the I-9 signed by day 1. aPHR, studying for the SHRM-CP.
Don't
Organized and detail-oriented HR professional who enjoys helping people and supporting a busy HR team.
Do
HR assistant with 2 years at a 130-employee senior living community, onboarding 48 hires in 2025 through Oracle Taleo. aPHR-certified, with Spanish for employee benefits questions.
The rewrite gives the employer size, a year's volume, the system and the credential.
How to write HR assistant work experience bullets with numbers
Give your current HR job 3 to 4 bullets and each older job 1 to 4, fewer as the jobs get older, every one led by a verb. Put the headcount you support in the first bullet, since a manager reads every later number against it. Follow the general rules for listing work experience on a resume, then swap each duty for a count: records, packets, interviews, questions or files, with the time frame they cover.
| Area | What to count | Example bullet |
|---|---|---|
| Personnel records | Records kept, changes entered, errors caught | Kept 1,100 employee records current in the HRIS with 0 missed pay changes over 6 pay cycles. |
| Onboarding | Packets a month, forms done before the start date | Built and sent 28 onboarding packets a month, with tax and direct deposit forms back before each start date. |
| Interview scheduling | Interviews a week, managers supported, no-shows | Booked about 45 interviews a week for 5 managers and cut candidate no-shows from 3 a month to 1 with reminder texts. |
| Benefits and leave support | Forms processed, turnaround time | Filed 90% of leave and benefits change forms within 2 business days of receipt. |
| HR inbox and front desk | Questions a day, response time, walk-ins | Answered about 40 HR inbox emails a day and routed payroll questions to the right specialist the same day. |
| Filing and retention | Files scanned, purge lists, audit requests | Scanned 2,400 paper personnel files and built a purge list of 600 files past their retention date. |
Here is one HR assistant's entry with those numbers in place. The headcount opens it, each later bullet counts a different part of the job, and the earlier office role keeps a single line of records work.
Work Experience
- Support 420 employees across 2 plants, entering about 60 personnel changes a week in ADP Workforce Now.
- Prepared onboarding files for 214 new hires in 2025 and had Section 1 of Form I-9 signed by day 1 for every one.
- Answer about 35 benefits and policy questions a week from the HR inbox, each within 1 business day.
- Scheduled 180 first-round interviews in 2025 for 3 hiring managers, sending each candidate a confirmation and directions.
- Tracked license and CPR renewal dates for 38 staff across 4 offices in Excel, with 0 lapses in 2 years.
Federal I-9 rules give you deadlines to count against. USCIS requires a new employee to complete Section 1 of Form I-9 no later than the first day of employment, and employers must keep each form for 3 years after the date of hire or 1 year after employment ends, whichever is later. On-time I-9s and a clean retention schedule are both fair results to claim.

HR assistant skills and HR software for your resume
List 6 to 8 hard skills for your resume, taken from the job ad and backed by your bullets. Records, onboarding and scheduling fit almost every HR assistant job; benefits enrollment, workers' compensation claims or E-Verify only if you have handled them.
Hard skills for HR assistants
- HRIS data entry
- Personnel file maintenance
- Form I-9 and E-Verify
- New-hire onboarding
- Interview scheduling
- Benefits enrollment support
- Leave of absence paperwork
- Records retention
- Job posting
- HR reports in Excel
Soft skills HR managers value
- Discretion
- Accuracy under deadlines
- Friendly, clear answers
- Organization
- Patience with repeated questions
- Follow-up
Put your software in Skills and prove each system in a bullet. O*NET flags Microsoft Excel, Word, Outlook and PowerPoint as both in-demand and hot technology for HR assistants, and lists applicant tracking software and Oracle HRIS as in demand; SAP ERP, Oracle PeopleSoft, Microsoft SharePoint and Access are flagged as hot. If a posting lists ADP Workforce Now, Workday, UKG Pro or Oracle Taleo and you have used it, copy that exact name. For Excel, say what you built, such as a headcount report or a new-hire tracker.
aPHR, SHRM-CP and PHR: HR certifications for HR assistants
No license is needed to work as an HR assistant, so a certification is optional but easy for a manager to spot. List certifications on your resume under Certificates with the full name, the issuer and the month you earned it, and add the short form to your headline. The aPHR from HRCI and the SHRM-CP from SHRM are both open to people with no HR experience, which makes either one a practical first credential.
| Credential | Issued by | What it takes |
|---|---|---|
| aPHR (Associate Professional in Human Resources) | HR Certification Institute (HRCI) | No HR experience required. A 1 hour 45 minute exam with 65 scored questions; valid for 3 years. |
| SHRM-CP (SHRM Certified Professional) | SHRM | No HR title, degree or prior HR experience required to apply, and students may sit for it; SHRM recommends a working knowledge of HR practice. |
| PHR (Professional in Human Resources) | HR Certification Institute (HRCI) | 1 year in a professional-level HR role with a master's degree, 2 years with a bachelor's, or 4 years without a degree. It lasts 3 years; renew it with 60 recertification credits. |
Before you apply for the PHR, check how HRCI defines a professional-level HR role, and count only the years that meet it.
How to keep an aPHR current on your resume
HRCI says the aPHR is valid for 3 years, and you keep it by earning 45 recertification credits in that time or by retaking the exam. List it with the month you earned it, and drop it once it lapses rather than leaving an expired credential in your headline. If you have booked a SHRM-CP or PHR exam, add it as scheduled with the month.
Certificates
- Associate Professional in Human Resources (aPHR), HR Certification Institute (HRCI), 02/2024
- SHRM Certified Professional (SHRM-CP), SHRM, scheduled 05/2027
How to list an associate's or bachelor's degree on an HR assistant resume
According to the BLS, HR assistants generally need an associate's degree. Employers vary: in O*NET's survey of the occupation, 34% of respondents said the job needs a bachelor's degree, 27% an associate's and 21% a high school diploma. A business, HR or office administration program fits, and the BLS adds that with a bachelor's degree some HR assistants move up to HR specialist roles.
Use the general rules for listing education on a resume: degree, school, city and the month you graduated. A certificate in human resource management from a community college or a university's continuing education program goes in Education too, with its completion month. Add a GPA of 3.5 or above only in your first 2 to 3 years out of school.
Education
Dean's List, 4 semesters.
Entry-level and career-change HR assistant resumes
For your first HR assistant job, an entry-level resume with Education near the top works well. Office and student jobs often hold more HR support work than their titles suggest, so give each one the counts an HR job would get.
- Reception or front desk: visitors checked in, phone lines covered, confidential mail and forms handled.
- Office or payroll support: timecards checked, records updated, onboarding steps you ran for a small team.
- Student jobs in a campus HR or career office: student-worker records, job postings or events you staffed.
- HR internships: the files you processed and the system you used.
- The aPHR or SHRM-CP: under Certificates, since neither needs HR experience.
Don't
Hardworking recent graduate looking for an opportunity to grow in the human resources field.
Do
Business graduate with 8 months as a student assistant in a university HR office, seeking an HR assistant role. Updated 1,500 student-worker records in Workday and earned the aPHR in 07/2026.
An objective still needs a place, a count and a credential.
Coming from office administration, reception, payroll or retail management, keep reverse-chronological order and move the HR parts of each job to its first bullets: new-hire paperwork, timekeeping, scheduling and staff records. A career-change resume reads best with an objective that names the HR assistant role and your HR certificate or aPHR. Explain the move in your letter, where our human resources cover letter examples show how to keep it to a few sentences.
HR Assistant resume FAQ
Do I need a degree to become an HR assistant?
Not always. The BLS says HR assistants generally need an associate's degree, and in O*NET's survey 21% of respondents said a high school diploma is enough. A bachelor's degree helps if you want to move up, since the BLS says some HR assistants who finish one become HR specialists.
Should an HR assistant get the aPHR or the SHRM-CP?
Either works, since neither asks for HR experience. The aPHR from HRCI is built for people starting in HR, while SHRM says the SHRM-CP suits people doing general HR duties and needs no HR title or degree. Pick the one the job ads in your area name more often, and list it with its issuer.
What HR software should an HR assistant put on a resume?
Put the HRIS or applicant tracking system you used every week, such as ADP Workforce Now, Workday or Oracle Taleo, plus Excel, Word and Outlook. Name each system exactly as the posting does, and back each one with a bullet that says what you entered, tracked or built in it.
How long should an HR assistant resume be?
Use 1 page. HR assistant roles rarely produce enough distinct work for a second page in the first 10 years, so trim older office jobs to 1 bullet each and keep your HR systems, certificates and current role on the single page.
Should I list Spanish or another language on an HR assistant resume?
Yes, if you can use it at work. List it under Languages with an honest level, such as fluent or conversational, and show it in a bullet: orientations, benefits questions or applicant calls you handled in that language. A manager hiring for a bilingual seat looks for that proof.
Can I become an HR assistant with only office or reception experience?
Yes. Office and reception jobs already involve records, scheduling and confidential paperwork, which is most of HR support. Lead each old job with that work, add an HR certificate or the aPHR, and write an objective that names the HR assistant role you want.
What is the median salary for an HR assistant?
The BLS puts the median yearly wage for human resources assistants, except payroll and timekeeping, at $50,610 as of May 2025. Keep pay off your resume and discuss it in the application form or the interview, since your offer depends on your city, the employer and your credentials.
